Add a time-off plan
You can add a time-off plan from the time-off plans page. You can have up to 250 time-off plans per management unit.
Navigate to the Time-Off Plans page
To navigate to the Time-Off Plans page, perform the following steps
- Click Admin.
- Under Workforce Management, click Time-Off Plans.
- Click Menu > Workforce Management > Scheduling > Time-Off Plans.
- In the upper right corner, click the Business Unit/Management Unit list and then click the business unit/management unit to which you want to add the time-off plan.
- Click Add. The Add Time-Off Plan page is displayed.
Add a time-off plan
The Add Time-Off Plan page displays the following tabs. Click a tab to view additional information
Plan Overview tab
To set the up the time-off plan, perform the following steps:
- In the Applies To field, select one of the following options:
- Management Unit. Assigns the time-off plan to a management unit. Select a management unit for the time-off plan from the list.
- Staffing Group. Assigns the time-off plan to a staffing group. Select the staffing groups for the time-off plan from the list.
- In the HR System dropdown, select the HRIS integration.
- In the HR System Time-off Type list, select the time-off type. Note: When an agent submits a time-off request with a corresponding HRIS time-off type, the system automatically creates a matching request in the external HR system with the selected time-off type. The system then deducts the payable time from the balance in the external HR system when the supervisor approves the time-off request.
- In the Associated Activity Codes section, select the activity codes to be associated with the time-off plan. Note: You can only associate an activity code to a single time-off plan. If you select an activity code that already ties to another plan, the system removes the activity code from the other plan.
Rules tab
To set the rules for the time-off plan, perform the following steps:
- In the Schedule Management section, enable the Update published schedule when time-off requests are approved check box. When enabled, this option indicates whether the published schedules have to be updated when time-off requests are approved. This field is enabled by default.
- In the Time-off Limits section, enable the Count requested time off against time-off limits check box. When enabled, this option ensures that time-off requests with the selected activity codes count against the time-off limit.
- In the Approval Rules section, select one of these options:
- Manual Approval. Select this option to to indicate that the auto-approval rule never applies to time-off requests that use the selected activity codes. Choosing this option requires you to approve time-off requests associated to the selected activity codes manually.
- Auto Approval. Select this option to indicate that the auto-approval rule always applies to time-off requests that use the selected activity codes. Choosing this option causes the system to auto-approve all time-off requests, even when they exceed the remaining time-off limit on the requested time-off dates.
- Conditional Approval. Select this option to apply the auto-approval rule to time-off requests according to the time-off limit. The following additional fields are enabled.
- Check for conflicts between time-off requests and activity codes present in a published schedule. When you enable this option, Genesys Cloud prevents auto-approval when a particular activity codes is present in the published schedule.
- In the Activity codes requiring manual approval field, select the activity codes that prevent auto-approving the request. Note: This field displays only the non-time off category activity codes.
- In the Activity codes requiring manual approval field, select the activity codes that prevent auto-approving the request.
- Enable the Time-off request is within the time-off limits toggle to set the days by which the time-off requests begin to expire.
- In the Days before time-off request start to expire if waitlisted field, use the arrows or enter a number to indicate the number of days specify how many days before the scheduled start date a waitlisted request should expire if it hasn’t been approved. When the requests expire, Genesys Cloud changes the status to Pending – Waitlist window closed.
- Check for conflicts between time-off requests and activity codes present in a published schedule. When you enable this option, Genesys Cloud prevents auto-approval when a particular activity codes is present in the published schedule.
Override Dates tab
To set up dates that you can use to override the already configured time off plan rules, perform the following steps:
- On the right corner of the Override Dates tab, click + Add. The Add override dates dialog box appears.
- In the Start and End fields, select the date or range of dates to either block agents from submitting time off or to require manual approval on these data.Note: These dates use the business unit’s time zone to determine the start and end day or time.
- In the Choose type field, select one of these options:
- Blocked from Time Off Request: Restricts agents from submitting time off requests.
- Manually Reviewed: Requires the entire time off request to be manually reviewed. Requests will not be auto-approved.
- Click Add.
- In the Start and End fields, select the date or range of dates to either block agents from submitting time off or to require manual approval on these data.
- Click Save. The override dates rule appears in the override dates list.
You can perform the following additional actions on the Override Dates tab.
- To filter by date or by override date type, click Filters .
- To refresh the view, click Refresh.
- To delete override dates, click Delete. This icon is available for selection only when override dates are selected.
Note: You can configure a maximum of 550 override dates. The earliest dates that you can enter are:
- 93 days in the past
- 1462 days into the future
